The Terms and Conditions on the website are checked and updated at regular intervals.

They may appear exhaustive but they act as a reference to ensure the safety of all guests whilst on site.

Please check our Terms and Conditions prior to booking your holiday with us and if you have any questions feel free to contact us via telephone , email or by submitting the attached form.

When the following words are used in these Terms and Conditions, this is what they will mean:
“Terms”: these terms and conditions.
“Glamping Site”, “We”, “Us”, “Our”: West Hall Cottage, Norburn Lane, Witton Gilbert, County Durham, DH7 6TS.
“Booking”: a booking request submitted to us via Our Website, email, phone or in person.
“Arrival Date”: the date on which your booking commences and you are due to arrive at the site.
“Prices”: the cost of Our services as detailed on the Website.

2.1 These terms and our price list set out the entire agreement between you and West Hall Glamping for the supply of our services to you. Only these terms shall apply to our contract with you.
2.2. Please check that the details in these terms and your booking are complete and accurate before you submit your booking.
2.3. By submitting a booking you are deemed to have accepted these terms.
2.4. We reserve the right to change these terms at any time and any such changes will take effect immediately when posted on the website, at the glamping site, or otherwise brought to your attention.
2.5. In addition to these terms, you must comply with the rules below.
2.6. If you do not adhere to our terms and rules or fail to pay for your accommodation, you will be in breach of your contract and will be made to leave.
2.7. A booking cannot be made for more than 28 days. No long term lets of glamping lodges are available.

You can either book online, via email, via the telephone number displayed on our website or in person.
3.2. Bookings are not transferable to another party.
3.3. When making a booking you agree that you or at least one member of your party is twenty-one (21) years or over, you have the authority of all persons in your party to book on their behalf, you accept these terms & conditions and you agree to be responsible for any loss or damage caused by any member of your party.
3.4. Advance bookings may at times be subject to minimum stay periods. These vary by season and please refer to our website for further details.
3.5. The glamping site is to be used for recreational glamping only.
3.6. A booking can be made for glamping, at West Hall Glamping, as holiday
accommodation only, for a maximum of 28 days.
3.7. You must be able to provide proof of booking on arrival, either a printed confirmation or a screen shot on a mobile device.

4.1 The guest booking the stay must be twenty-one (21) years or over. There must be at least one adult aged twenty-one (21) years or over in each lodge.

You, together with all members of your party, are required to comply with the following rules:
5.1. We reserve the right of admission. We only accept responsible guests that are considerate to fellow guests and be respectful of the environment.
5.2. As our lodges are fitted with underfloor heating, we request you remove your shoes on entry as this will not only allow you to the feel the warmth floor underfoot, but it will also help to maintain the cleanliness of your lodge, a shoe store is provided in each lodge.
5.3. All children must always be closely supervised by an adult.
5.4. No smoking anywhere on site
5.5. Dogs are welcome on our site but must always be kept on a lead and any fouling must be collected and disposed of. A maximum of two dogs per lodge are permitted on-site. If there is an incident on-site involving your dog, please note that you may be asked to leave the site immediately.
5.6. There must be no loud or disrupting noise after 22:00 and before 08:00. Children must not use the play area between these hours out of respect for the other people staying onsite.
5.7. Leave your accommodation as you found it, i.e.: no litter or damage. You will be liable for any damages or excess cleaning caused to any of our property and will be charged.
5.8. Music players/radios must be kept to a reasonable volume and then switched off if outdoors by 22:00.
5.9. No fireworks, Chinese lanterns, guns or weapons.
5.10. Drunk, disorderly or abusive behaviour will not be tolerated. We reserve the right to ask you to leave should this occur.
5.11. We cannot accept responsibility for your possessions, or any personal injury of any kind sustained while on our land, subject to Section 14 – Liability.
5.12. No open fires are allowed. BBQs and fires are permitted only in the BBQs and fire pits provided by Us.
5.13. No cooking or fires are permitted on the wooden decked area.
5.14. You are always liable for any fires, BBQs and other activities undertaken around the site.
5.15. Whilst on our land, you and any members of your party must not enter any buildings or climb on any dry-stone walls, fences or barriers.
5.16. Any accidents on our land must be reported at the farmhouse or to a member of staff so we can log them in our Accident Book.
5.17. Check in is not before 15:00, you may be able to arrange early check in with prior arrangement subject to availability. You must vacate your chosen accommodation by 10:00 on your departure day promptly, unless a late check out has been granted by prior agreement also subject to availability, please ask the site management.
5.18. You must keep to the 10mph speed limit on our site for your own and others safety.
5.19. We accept day visitors onsite; however, we must be notified of all visitors onsite. Visitors can be onsite between 14:00 and 21:00 only. There is a fee of £3 per day per guest.
5.20. The site is supervised by us as the owners and we will be onsite to ensure
adherence to these site rules. Any parties not respecting these rules may be asked to vacate the site without refund. Any violent or criminal behaviour will also result in the police being contacted.

6.1. The prices advertised are accurate at the time of booking. Prices can move up or down and West Hall Glamping reserve the right to do so. Customers are advised to check the website for the most up to date information including our latest promotions, deals and discounts. Although prices may vary from time-to-time, the price payable is the price confirmed at the time of booking.
6.2. Payment for bookings can be made by Credit or Debit Card. Unfortunately, we cannot accept payment by cheque in advance or on-site.
6.3. To secure your booking, a non-refundable deposit of 30% of the total cost of your stay is required. You may also choose to pay the full balance at the time of your booking.
6.4. Full payment is required at the time of booking if your stay is less than 30 days away (or if you are using a gift voucher).
6.5. The remaining balance must be paid in full 30 days before your stay. You will receive an email with a payment link a few days before the balance is due.
6.6. If the balance is not paid by the due date, West Hall Glamping reserves the right to re-let the lodge and retain the deposit.
6.7. The prices are based on a nightly rate unless otherwise stated. Prices include VAT at the current prevailing rate.
6.8. The prices are for two people. Extra adults and children (aged 2-16 years old) can be added to your booking up to a maximum of four people in one pod. Children under two years old go free, however they do count as part of the party for all other purposes. For parties larger than four people, multiple lodges must be booked.
6.9. For bookings that encompasses a UK Bank Holiday Weekend the full cost of the holiday is payable at the time of booking.
6.10. Prices do not include any additional services, features and facilities unless expressly stated.
6.11. Promotions, deals or discounted offers are subject to availability and cannot be used in conjunction with any other offer or discount and may be withdrawn at anytime. Retrospective refunds are not permitted against any offer or promotion advertised after such time a booking is made.
6.12. West Hall Glamping Gift Vouchers are non-refundable.

7.1. In the event of no-shows, we do not offer any (either full or partial) refund. We strongly recommend that you take out UK travel insurance when you make your booking.
7.2. Should you cancel your stay more than 30 days before the day of check-in, we will retain the booking deposit (or 30% of the total of your stay if you’ve already paid in full). If we can re-book your lodge, then your deposit/30% will be refunded, minus a £40 administration fee. Any deposit less than £40 will not be refunded.
7.3. Should you cancel your stay within 30 days of the start date, the balance of your payment remains payable.
7.4. In the event of cancellation of your booking by West Hall Glamping – for any on-site health and safety or quality-related issue (such as disruption to water supply) – you are entitled to a full refund of the money you have paid. You may also opt to change your booking to another date, subject to availability. Any additional cost relating to a change of dates would be payable.
7.5. Any liability arising from the cancellation of your stay by West Hall Glamping, for whatever reason, is strictly limited to the total sum paid to us by you.
7.6. West Hall Glamping gift vouchers are non-refundable. The dates of bookings paid for fully, or in part, with a West Hall voucher may be amended, provided the changes are made at least six weeks before the start of the stay. If the stay is cancelled less than six weeks before the holiday start date, no part of the booking will be refunded.
7.7. Force Majeure
7.7.1. Typical ‘Force Majeure’ events include, but are not limited to, pandemic,
terrorism, serious crime, natural disaster, ‘Act of God’, government or public
authority action or intervention, law and travel restrictions.
7.7.2. If we are unable to offer accommodation due to circumstances beyond our control, we are not liable for refunds or expenses incurred. We recommend that you have adequate holiday insurance in place to cover this.
7.7.3. This means if we are prevented, hindered, or delayed from performing our obligations due to an event outside our control, including any action or order from the government, we will be relieved of our obligations. In the event of this happening, we will offer guests the opportunity to change the dates of their stay.

8.1. If your stay is more than 30 days away, we will allow you to move your booking to an alternative date without any charge, subject to availability. Any additional cost relating to a change of dates would be payable.
8.2. We will not move booking dates within 30 days of the start of your stay.

8.4. Whole-site bookings – You may move your booking to an alternative date if your stay is more than ten weeks away, subject to availability. We will not move exclusive hire booking dates within ten weeks of the start of your stay.

9.1. We strongly recommend that you take out UK travel insurance when you make your booking. We recommend additional cancellation insurance to cover in the event of cancellations other than Coronavirus restrictions.

10.1. Guests staying in our lodges with must read the important information email that we send seven days before the start of the stay. Detailed hot tub information, including hot tub rules, can also be found in each lodges Welcome Pack.
10.2. By booking a stay at West Hall Glamping, guests are agreeing to read the
information and to abide by our hot tub rules. We reserve the right to prohibit use of a hot tub at any time during a stay, without offering a refund, if we find that our hot tub rules have not been followed.
10.3. We charge £50 to empty and refill a hot tub during a stay if the water becomes contaminated.
10.4. Repairs for any damage to the hot tubs, hot tub covers and/or hot tub pumps will be charged to the person who booked the stay with Us. (This may differ for group bookings – see Group Bookings section of the Ts and Cs.)

11.1. We expect you to have a very enjoyable stay with us, however, should you have any concerns or complaints, please let us know immediately so that we can endeavour to resolve any issues as soon as possible during your stay to prevent it from making your stay with us less than perfect. We reside on site so are available for you to speak to in person and log and deal with any concerns you may have.
11.2. After your holiday, if you feel that your complaint is unresolved after addressing the issues with our selves during your stay, you must put your complaint in writing to us within 14 days of departure.
11.3. Please send to – West Hall Cottage, Norburn Lane, Witton Gilbert, County Durham, DH7 6TS with the detail of your complaint, your booking reference number or booking date, and your name.
11.4. Due to data protection, we are only able to discuss complaint and booking details with the lead booker.
11.5. Once we have received your letter of complaint, we will investigate further and will continue to work with you and endeavour to resolve your complaint within 21 days of receipt.
11.6. Please always speak to us in person in the first instance as it is better to resolve any issues as they happen. We have designed this procedure to make sure we can help as quickly as possible and to ensure we have an opportunity to put things right at the time, rather than retrospectively.

Please read this section as it is important that you understand what you are agreeing to.
12.1. Nothing in this section limits or attempts to limit our liability for death or personal injury caused by our negligence or for fraud or fraudulent misrepresentation, or for any other matter for which it would be illegal or unlawful for us to exclude or attempt to exclude our liability.
12.2. If we fail to comply with these terms, we are responsible for loss or damage you suffer that is a direct and foreseeable result of our failure or our negligence. We shall not be responsible for any losses that you suffer that are indirect or not foreseeable, including, but not limited to, loss of income or revenue, loss of business and loss of anticipated savings.
12.3. Where we are responsible for your loss, our maximum liability shall be no more than to refund the amount paid by you for the holiday.
12.4. As our Glamping Site is in a rural environment, we do not accept responsibility for any damage, injury or inconvenience caused by livestock, plants, trees, wildlife or weather. We advise you to have the relevant travel insurance.
12.5. We do not accept responsibility for anything that adversely affects your holiday that is outside of our control. We advise you to have suitable travel insurance.
12.6. These terms are governed by the laws of England and Wales.

13.1. Guests agree to inform us of any damage or loss however caused, excluding reasonable wear and tear incurred during occupation. Guests should not remove any item from the property. The owner may ask for reasonable replacement costs.
Charges for damaged or missing items may be made to the payment card used at the time of booking, without prior notification.
13.2. (Group Bookings – A deposit of £600 is required for exclusive site bookings and by arrangement for bookings of three lodges. The deposit will be taken via our payment processor and you may see it on your statement as a transaction or a pending transaction.
13.3. The deposit is authorised on the booking card at midnight on the day of arrival and funds will be ‘reserved’ on the card. It will be fully refunded at the end of your stay if there are no damages, breakages or additional cleaning required.)

14.2. Your data is stored securely and is only used with regards to your booking. Your information will never be passed onto a 3rd party. If you receive an email from us and do not wish to be on our mailing list, you can opt out at any time. Payment card details are not stored or seen by us and are only used for the purpose of you creating a booking. We hold a copy of the 2018 GDPR policy which you are welcome to view.

15.1. Any photographs, descriptions or advertising we issue, and any descriptions or illustrations contained on our social media pages or our website, are issued or published solely to provide you with an approximate idea of our Site and services. They do not form part of the contract between you and us.
15.2. If any court or competent authority decides that any of the provisions of these terms are invalid, unlawful or unenforceable to any extent, the term will, to that extent only, be severed from the remaining terms, which will continue to be valid to the fullest extent permitted by law.
15.3. If we fail at any time while these terms are in force, to insist that you perform any of your obligations under these terms, or if we do not exercise any of our rights or remedies under these terms, that will not mean that we have waived such rights or remedies and will not mean that you do not have to comply with those obligations.
Any waiver of a default by us does not mean that we will automatically waive any subsequent waive by you. No waiver by us of any of these terms shall be effective unless we expressly say that it is a waiver and we tell you so in writing.
15.4. A person who is not party to these terms shall not have any rights under or in connection with them under the Contracts (Rights of Third Parties) Act 1999.
15.5. You may not transfer any of your rights or obligations under these terms to another person without our prior written consent, which we will not withhold unreasonably. We can transfer all or any of our rights and obligations under these terms to another organisation, but this will not affect your rights under these terms.
15.6. These terms and any non-contractual obligations relating to these terms shall be governed by and interpreted in accordance with English law. You and we both agree to the exclusive jurisdiction of the English courts. This contract shall be concluded in the English language.
